Photography Policy

1. Photography & Filming Notice

Participants acknowledge that official event photographers and videographers will be active throughout the event. By entering the event, participants accept that their image may be captured in photographs and video footage.

 

2. Image Use for Event Promotion

By participating in the event, competitors grant the event organiser and its authorised partners the right to use photographs and video footage of them for event documentation, marketing, and promotional purposes, in any media, worldwide, without payment.

 

3. Legal Basis for Image Processing (UK GDPR)

The event organiser processes photography and video footage of participants under its legitimate interests to document, market, and improve the event. This includes sharing relevant images with the contracted official event photographer.

 

4. Opt-Out Requests (Promotional Use Only)

Participants may request that identifiable close-up images of themselves are not used for promotional purposes by contacting the event organiser. While reasonable efforts will be made to honour such requests, complete exclusion from all imagery cannot be guaranteed due to the nature of

mass-participation events.

 

5. Child Participants

Parents or guardians of participants under 18 consent to their child being photographed and filmed as part of the event’s legitimate interests.

 

6. Event-Day Photography Signage

Signage will be displayed at key locations indicating that photography and filming are taking place. Entry into the event area constitutes acknowledgement of this.

 Suggested sign wording:

“Photography and filming are taking place at this event. By entering, you acknowledge this. Please contact event staff if you have any concerns.”

 

7. Image Storage & Access

Event photographs may be stored by the contracted photographer. Images may be retained for future event promotion. Participants may contact the organiser with any queries regarding image use.

 

8. Photographer Copyright & Usage

All event photography remains the intellectual property of the contracted photographer. The event organiser is granted usage rights solely for event documentation and promotional purposes. Any additional uses require permission from the photographer.
